Straight numbers first: in India, gym management software runs from roughly ₹500 to ₹5,000+ per month for a single gym, with most serious products landing between ₹1,500 and ₹3,500. But the sticker price is the least interesting number — the pricing model is what decides your bill in year two.
The four pricing models
Per member, per month
Common with international products. Looks cheap at 200 members; punishes you for growing. The software bill rising every time your gym succeeds is a strange incentive to sign up for.
Flat monthly, per gym
One price for the location, everyone included. Predictable, and growth does not raise the bill. Watch for the fine print: some vendors advertise a flat price, then meter it with member caps or per-staff-login charges — a per-member model wearing a flat-price mask.
One-time license
Pay once, own it — usually desktop software. The catch arrives later: updates cost extra, support expires, data lives on one PC, and five years in, you are running abandoned software with no way out. Cheap software you cannot leave is expensive.
Free tiers

The hidden line items
Whatever the model, ask about these before comparing prices:
- Onboarding and data migration — some vendors charge ₹5,000–₹15,000 to import your existing members. Others include it.
- WhatsApp messaging — official API messages have real per-message costs; grey-market “unlimited WhatsApp” tools risk your number getting banned.
- Attendance hardware — biometric or face-recognition devices are a separate, one-time cost with any vendor.
- Exit cost — the most hidden one. If your data cannot be exported in full, the real price of the software is whatever it costs to be stuck with it.
